Organizing Room Files

Folder trees, renaming, moving, adding and removing files, and what visitors see.

A room's Files tab is a real folder tree. Organize it so visitors find what they came for.

Folders

  • New folder creates a top-level folder; a folder's own menu creates nested folders inside it.
  • Rename a folder at any time. Visitor-facing names, so keep them clear.
  • Move files and folders by dragging or from their menus.
  • Delete a folder when it is empty.

Folder order is the order visitors see. Put the files that matter first.

Adding files

  • Upload into the room. Drag onto a folder or use its Upload here action; files land in that folder.
  • From library. Pick files already uploaded to your Docshark library; a reference to the file joins the room, not a copy. Update the library file and the room version follows.

Removing a file from the room unlinks it. The original stays in your library.

What visitors see

  • The folder tree exactly as you arranged it. Folders they can open, files they can open or download depending on per-file permissions.
  • File names, sizes, and your folder names. So a stray "final_v2_CLEAN" shows to everyone in the room. Rename files inside the room without affecting the library copy.
  • An Ask button on files and on the page. Questions arrive in your Inbox and the room's Q&A stream.

Search inside a room

The room view includes file search. Visitors find a file by name across folders. On big diligence sets this matters: nobody reads 300 file names top to bottom.

Changing the structure later

Rearrange freely. Move, rename, add, and remove while the room is live. Visitors always see the current tree; there is no publish step. Analytics keep recording against the file itself, so reorganizing does not reset the numbers.
