Creating a Data Room

The room builder step by step. Naming, uploading files, folder templates, AI-shaped structure, and the review step.

Docshark → Data rooms → New room opens the builder. It asks a few questions and pre-fills answers. You adjust anything before opening the doors.

Step 1: Name and describe

  • Room name (required). The title visitors see at the gate and on their entry screen.
  • Description. A line of context shown inside the room; optional.
  • Purpose. Pick the kind of deal (fundraising, client delivery, M&A, board materials, vendor review, custom). The purpose feeds the suggested folder layout.

Step 2: Add files

Drop files or browse. PDF, Word, Excel, PowerPoint, and images, using the same upload pipeline as the library (resumable chunks for large files; details). You can also pull in files already in your library.

You can skip this step and organize files later. An empty room still works as a link destination.

Step 3: Structure

Choose how the room is organized:

  • Pick a template. A pre-made folder layout for common deals.
  • Describe it to Mako. "a room for a seed-round data review" becomes a suggested folder tree you can edit.
  • Start blank. Build the folder tree yourself.

Templates create folders only. Files stay where you placed them until you organize them.

Step 4: Review and open

The last step shows the whole room before it goes live: name, file count, folder layout, and the access defaults. Create room opens it. Files become reachable only after you share a link, and every access rule can be tuned afterward.

What the room ships with

  • A Dashboard tab. Visitor counts, file views, open questions.
  • Files. The folder tree with per-item permissions.
  • Links. The room's share links, each with independent rules.
  • People. Groups and visitor records.
  • Q&A. The room's question stream.
  • Settings. Access defaults, agreement, and identity.

After creation, tune the gate, then invite people.
