Sending and Managing Envelopes
The envelope control room. Recipient states, reminders, voiding, corrections, drafts, and saved views.
Once an envelope goes out, its detail page is the control room. Get there from Docshark → Signatures. The list, or from the dashboard's needs-you queue.
The envelope list
The list shows every envelope with status, recipients, and last activity. Filter by:
- Status. Draft, active, completed, voided, expired.
- Recipient. Find every envelope a person is on.
- Date range. Sent or created in a window.
- Saved views, filter sets you name and keep ("Waiting on clients", "Stuck over 7 days"), the filter system is built for recurring questions.
The envelope detail
- Pipeline. Every recipient, their stage, and their state: sent, delivered, viewed, signed, declined.
- Audit trail. The hash-linked event record: every send, open, consent, field completion, signature, decline, reminder.
- Documents. The envelope's files; the sealed PDF appears here at completion.
- Audit evidence JSON. The complete exportable record, downloadable at any point.
Reminders
- Automatic reminders. Set a cadence on the envelope options; Docshark nudges unsigned recipients on schedule.
- Manual nudge. Remind one recipient or everyone pending, from the detail page. Reminders send an email; they are recorded in the trail.
Correcting an active envelope
When a detail is wrong on a sent envelope, a typo in a name, a mislabeled field, the correction flow lets you fix specific things without starting over. What can be corrected depends on what has already happened: fields and messages on untouched recipients are fixable; a recipient who already signed is not editable. The correction itself is an audited event (ENVELOPE_CORRECTED fires to webhooks).
Voiding
Void cancels the envelope: signing stops, recipients see it as cancelled, and the record (with its reason) stays in your list and trail. Voiding is permanent. A voided envelope cannot be reopened; resend instead.
Drafts
Unfinished envelopes live as drafts. Reopen to finish the wizard, or delete them. Drafts count toward nothing and can sit as long as you need.
Completed envelopes
At completion the document seals. The PDF carries the signatures plus a certificate of completion. Download the sealed file and the audit evidence from the detail page; both remain available regardless of analytics retention windows.
