Managing Links

A document's links are managed from its detail view. And a data room's links from the room's Links tab. Every link is listed with its name, status, protection chips, view count, and last-opened time.

Many links, one document

Create as many links as your plan allows. Each one is independent:

• Its own access rules, download settings, and viewer toggles.
• Its own analytics. Opens, viewers, and per-page reads roll up per link.
• Its own lifecycle. Expire or revoke one link without touching the others.

Typical pattern: one link per client or channel, so each audience gets its own gate and its own numbers. The links panel shows protection chips on each card, NDA required, Password, Email verified, Watermark, Watermark (burned in), Screenshot protected, No print, No download, Allowlist (n), so the rule set is visible at a glance.

Finding a link

The links list supports search by name and filtering by status, All statuses, Active, Expired, Revoked, plus a clear-filters escape. Cards show when the link was created, when it was last opened (or "Not opened yet"), its total views, and its view cap when one is set ("12 views · of 50 allowed").

Editing a live link

Change the rules at any time. Tighten an allowlist, extend an expiry, switch on a watermark, raise the view cap. The next open applies the new rules; you do not need to resend anything, and the URL does not change.

Per-link activity

Every link has an activity drawer. Opens, dwell time, and every viewer session on that link alone. This is the per-audience view: the same document shared to three clients produces three separate readership records.

Revoking and reactivating

Kill a link instantly:

1. Open the link's actions menu.
2. Choose Revoke and confirm.

The link stops working immediately, everywhere. The dialog is precise about the semantics: anyone using it loses access immediately. Visitors already inside keep their current session, but every new request is refused.

A revoked link is not gone. Choose Reactivate and the same URL works again. Your earlier shares of the link come back to life without resending anything.

Denied access attempts

Every blocked attempt, wrong password, off the allowlist, after expiry, past the view limit, after revocation, is recorded with a timestamp and IP region. The denied attempts are part of the link's record, so you can see who keeps knocking after the door closed.

QR codes

Any share link can be rendered as a QR code from the link panel. Useful for printed materials, slides, and event handouts.

Open as visitor

The Open as visitor action on a link card opens the reading room exactly as your recipients see it, gates included, so you can verify the experience before sharing.
